Project Administrator

The main goal of the Project Administrator is to ensure the following areas are taken care of: Communication between the Project Management Office and Software Development Project teams, enhancing the communication between Project Teams and Clients, and all administration relating to project administration.

This role reports to the Head of Project Management. You will be required to have a minimum of 0-2 years of relevant experience.

Responsibilities

  • You will be a part of the planning of a project in conjunction with the business and Software Development Project Teams.
  • You will track the progress of a project on a weekly basis and report the progress back to the business.
  • Coordinate with clients to define project scope and requirement, further on manage the relationship between the client and internal stakeholders.
  • Track project performance on a weekly basis, specifically in accordance with short- and long-term goals. Based on the feedback from the teams, clients need to be kept up to date on the progress of their project and if there are any delays/progress made.
  • Concerns need to be flagged with the the Project Management Office.
  • Meetings need to be recorded between project teams, clients and the business and sent out to the relevant stakeholders timely.
  • Verify that each deliverable meets the client ask, scope, and budget in conjunction with the business.
  • Lead frequent check-ins with clients and necessary internal team meetings.
  • Responsible for scheduling all project related meetings internally and with clients.

    Requirements

    • Maintain the balance between keeping team morale high and getting the team to “done”.
    • Constant analysis of timeline expectations along with allocation and budget and flagging areas of concern to the business and to ensure constant communication with clients are upheld.
    • Create and maintain “minutes” + record and maintain comprehensive project progress documentation.
    • Great communication skills (internally but also keeping the client up to date).
    • Establishing several touch points and building rapport for strong and trustworthy relationships.
    • Client expectation management.
    • Process driven individual who will assist in improving and documenting our project processes.
    • Ticket and velocity management.
